A client meeting notes template you can actually use.
A repeatable structure makes it easier to record what mattered and see what is still open. Copy or download this template for your next client conversation.
The template
Use only information you are permitted to record and store. Keep facts, open questions and actions distinct so the next reader can tell what was agreed.
CLIENT MEETING RECORD Date and time: Client / participants: Meeting purpose: Consent and recording basis (if applicable): 1. CONTEXT Relevant previous discussion, changes since last meeting: 2. How to use it well
- Before: add the meeting purpose and relevant prior context.
- During: capture the client’s own words for important needs and questions where possible.
- After: verify uncertain details, assign owners to actions and write the next checkpoint.
- Before sharing: review the record and any follow-up message for accuracy and appropriateness.
If a detail is uncertain, mark it for checking rather than filling the gap from memory.
When a template is not enough
For frequent client meetings, Keystone can turn a consented recording into a speaker-labelled transcript and evidence-linked brief. You review the result, then keep follow-ups, client context and future meeting preparation in one workspace. The template remains useful as a checklist for the final record.
Read about Keystone’s meeting notes workflow or reviewed client follow-ups.
Be in the meeting. Keep the important details afterwards.
Capture with consent, review the evidence and decide what to follow up on.
